Position Description

The Clerical Assistant is responsible for performing general clerical duties in support of the Executive Assistant to the Chairman and the Leasing Department. This role will deal with daily correspondence, maintaining of data within Company systems and execution of other general office duties to ensure efficient operation of both departments.

Duties and Responsibilities

Duties and responsibilities include, but are not limited to, the following:

  • Manage business licenses
  • Open/close utility accounts
  • Order music playing systems
  • Maintain accounts for open and closed stores
  • Maintain departments’ electronic and paper based filing systems
  • Check, distribute and type documents and correspondence
  • Photocopy, scan and fax/email
  • Receive, sort and distribute incoming mail and prepare outgoing mail
  • Monitor and order inventory of department supplies
  • Order and pick up beverages and meals for executive meetings
  • Act as a backup Receptionist
  • Run additional errands as required


  • High school diploma
  • Proficient in Microsoft Office
  • Experience reviewing leasing contracts
  • Valid driver’s license and access to vehicle
  • Strong communication skills both written and verbal
  • Good interpersonal skills, with a can do attitude
  • Works well in a team-oriented environment
  • Effective time management and multitasking skills
  • Strong analytical and problem solving skills
  • Attention to detail and accuracy
  • Strong organizational skills with an ability to prioritize tasks
  • Proven ability to work well under pressure and meet all deadlines
  • Ability to maintain a high level of confidentiality
