Position Overview

The Administrative Assistant is responsible for providing a wage range of confidential administrative support in the area of Real Estate and Property Management.

Essential Job Functions:

  • Correspond with Real Estate companies and Property Management
  • Obtain job quotes and provide follow up as required
  • Assist in the development and improvement of properties including overseeing repairs and maintenance
  • Correspond with tenants and participate in property visits
  • Compile, complete and distribute memos as directed
  • Pull, research, or enter data into spreadsheets and/or databases as requested
  • Create and maintain computer and paper-based filing and organization systems for records, reports, etc.
  • Complete general administrative duties such as scanning, photocopying, e-faxing, etc.
  • Manage the Manager’s schedule including appointment bookings and reminders
  • Organize details of internal and external meetings, special events, conference calls, and conferences by booking meetings, reserving meeting rooms, creating client-related agendas, printing, mailing, or emailing presentation materials associated with meetings

Requirements:

  • High School education required. Post secondary education in a related field is an asset.
  • Minimum of 3 years’ experience in an Administrative Assistant position
  • Knowledge of Real Estate/Property Management is an asset
  • Proficient in Microsoft Office
  • Proficiency is Excel is an asset
  • Solid mathematical aptitude
  • Attention to detail and accuracy
  • Strong written and verbal communication skills
  • Strong organizational skills with an ability to prioritize tasks
  • Ability to operate independently with minimal direction
  • Car required and valid drivers licence.
